MDirector List Clean-up: How Does Automatic Management of Cancellations and Bounces Work?

Ivan Nieto

On the MDirector platform, managing contacts is a very important task. For this reason, we’ve facilitated the task of cleaning up your database lists in order to keep them up-to-date. The lists perform automatic clean up activities by eliminating contacts that have removed themselves from the sub-account and those that have bounced sent items.

CANCELLATIONS/ UNSUBSCRIBED CONTACTS

This cleaning process is automatic, meaning that when a contact has unsubscribed from an email newsletter, they are automatically removed from the list they were on and placed on that sub-accounts list of unsubscribed contacts. In order to unsubscribe from MDirector, the contacts have to follow a double opt-in process which involves two steps to ensure that the action is authentic. In the first step, the contact has to click on the unsubscribe link and in the second step, the contact has to confirm the cancellation of that newsletter and can also optionally select the reason they have decided to unsubscribe. In this way, accidental cancellations due to unintentional clicks are avoided.

BOUNCES

In the case of bounces, a similar process is used. If a campaign is sent to a contact email address that has generated a hard bounces, the contact is removed from the database list and becomes part of the bounces list for that sub-account. In the case of soft bounces,  three of these are required for the contact to be automatically placed on that subaccount's bounces list.

The purpose of the bounce and unsubscribe lists is to determine which contacts have been removed from MDirector due to unsubscribing or their sent emails have bounced, and to ensure that these contacts are not imported again during any new importing processes. The reason for preventing the importation of these contacts in the case of those who have unsubscribed is to comply with the GDPR and avoid sending any communications to contacts who have requested not to receive them. In the case of bounces, it works to prevent damage to the sender's reputation by sending emails to addresses that constantly produce light bounces or that produce non-rectifiable hard bounces.

IMPORTING UNSUBSCRIBED CONTACTS

If you want to re-import these contacts in our contact lists, you must request the consent of the unsubscribed users and contact soporte@mdirector.com in order to request that we internally remove them from the unsubscribed list. In the case of bounces, the same procedure can be followed without consent -because it can cause several delivery problems on the server and not because the contact has decided to stop receiving those communications-.

STEPS TO FOLLOW

The unsubscribe and bounce lists can be consulted using your account. All you need to do is go to the "Email Marketing" section on MDirector:

Once inside, you need to click on the "Unsubscribed contacts and Bounces" tab and you’ll be able to download the full list of total unsubscribed or bounced contacts or select specific time periods.

In the case of unsubscribed users, if you have a list of unsubscribed contacts from before using MDirector, this can be imported using the same section, by clicking on the "Import Unsubscribed Contacts" option.

EXPORT UNSUBSCRIPTIONS

You can download all the unsubscriptions of the sub-account from the " Unsubscriptions Management" section:
