Creating an email campaign

First of all, we suggest watching our introductory video which explains how to go about creating your first Email & SMS Marketing campaign.

To create an email campaign, go to the "Email/SMS Marketing" section and click on the yellow "Create Campaign" button. You will then be taken to the section where you can create email campaigns.

 

STEPS FOR CREATING AN EMAIL CAMPAIGN

Step 1. Set up 

The first thing to do when creating a campaign, is to give it a name. Your subscribers won´t be able to see it, only you will. Doing this will also help you to quickly identify it in the future. 

The next step will be choosing the campaign that the delivery belongs to in the drop-down menu

Subject. Tips and customization

The subject of the messages is a the key factor in the open rate of the campaigns, so it is necessary to pay extra special attention when defining them. It should be creative without losing sight of the following guidelines: 

  • Do not try to explain the whole content of your message in the subject; on the contrary try to inform about it.
  • Keep it as brief as possible. It should be no more than 50 characters long and contain, at the very leas the key concept of the message.
  • Avoid using sentences or words like "Discount”, "Promotion", "Free", "Offer", "Test", "for a limited time only", etc. unless you are completely sure that your subscribers want to receive these type of emails. Often, these kinds of phrases cause our messages to be swallowed up by SPAM filters.
  • Do not offer anything that looks, or sounds too good to be true.
  • Avoid using words or sentences entirely in uppercase letters or repeat unnecessary exclamation marks.
  • Avoid repeating the same subject or one that is similar in every campaign.
  • Identify yourself as the company in the email FROM field and leave the concepts to the subject.
  • In promotional e-mails, the technique of wiring the subject in form of a question usually works well.
  • Take advantage of MDIRectors Subject Customization function as well as using the many different templates on offer.
  • Experiment using different subjects for the same campaign and find out which ones get the best results.

Subject customization

The subject of your E-mail can be customized using the buttons located to the right of the cell. In doing so, you will have the ability to customize the subject of any field: standard or customized.

Important: Remember that in oder to customize it is essential to have the information in the database first.

If you prefer to customise a specific field (https://mdtr.io/p0T0T), simply put the name of the parameter in brackets. For example: [Company]

Preheader

The preheader is the text that appears next to the subject line. It should be an attractive summary of what the subscriber will find in the email.

Sender name/Reply email and name

The information that will be shown in these cells will be the results from what you have previously configured (https://mdtr.io/o6Fd0) in the Preferences section. If you would like to, you can modify this information here BUT remember that any modifications you make at this point will only be applied to this specific campaign.

Campaign tag. What is it and what is it for? 

A tag is a keyword assigned to a campaign. A tag provides information that describes the campaign in question, therefore try to use as many tags as you consider necessary so that you can easily identify and search for the campaign in the future.

Choose the language of the campaign. What does it imply?

The language you select from the dropdown will be used in the email header (which includes the link to view the email in a browser) and in the footer, where we include the unsubscribe link (in compliance with data protection regulations).

Step 2. Editor and Templates

You have 3 options to choose from to select an editor:

 

1. Import HTML:

In MDirector, you can import templates from an HTML file or a ZIP folder (containing the HTML and multimedia elements of the file).

2. Improved Editor: 

In the new editor, you can select from basic MDirector templates or thematic templates. You can also choose your own templates.

3. Classic Editor:

In the classic editor, you can choose your own templates, basic MDirector templates, or thematic templates.

Step 3. The design

What can we do with the Improved Editor?

If you choose to load your own template, our editor has the following options that apply to your creative: 

 

A.- Add a header of web visualization
B.- Add a header to prevent us to be qualified as Spam..
C.- Add Google Analytics variables in the links:

By clicking on "Customized fields ", you can customize the fields of Google Analytics variables that you wish to enter in your links.


D.- Tool Bar: you can copy a plain text from word, align content, insert images, make links, change the format of your text, and change images.., i.e. There is a complete toolbar to edit any aspect of the format and distribution of your creative.

E.- Preview of your email Design.

In the Options section you can check that your links are correct, named, and marked as sales links. Each link corresponds to a yellow balloon that is seen in the preview of the design.

 

From the plain text option, we will generate automatically the plain text version that will accompany the delivery.

In Attached files, you have the option to attach a file to the campaign. However, we strongly recommend that the file does not exceed 100kb and we also recommend that you try not to use this option as much as possible as it can cause problems with the delivery of campaigns.

How can I customize the creative?

If you choose any of the templates, you will be able to modify the following blocks using our editor:

What do the sending features mean?

They are used to define the sending based on its content and what we want to achieve from it. To learn more about each function, you can click on this link: 

How can I save a template?

Simply click on “Save as template” while creating the campaign.

Once you have saved the template it can always be found, in the section Templates under "My templates" when you are creating a new campaign. All you have to do is click on “Save as Template” when creating a campaign. 

Step 4. Tests

SpamAssassin. What is it and how to interpret it?

MDirector has integrated SpamAssassin, one of the most widely used spam tests in the world, which you can consult every time you create a new campaign in Step: 4.- Test.

 

 

Spamassassin analyzes if a campaign could be considered spam or not by using a scoring system. A risky spam score is 5, which means that the campaign may be seen as spam, so we recommend that you address these issues to make the score as low as possible. The test itself details the reasons for any given score given:

Campaign Test

To run a test campaign, enter the email addresses you wish to test, separated by commas, into the cell and click Send test (it is also possible to write the name of the list you have created for this purpose in which you have previously imported a database).

 

 

To repeat the test, click on "Make another test campaign" and enter/modify the email addresses (or list name) for the campaign.

Advanced Test (For Total users only)

Our advanced test gives you extra information about the most commonly used antispam filters by the ISP: Barracuda, Postini, YahooMail!, Gmail Outlook, Message Labs, in order to enhance the delivery of your campaigns. It works using the same scoring system that we explained above.

 

Furthermore, it allows you to have an overall view of how your campaign is seen in the Inbox of the main Email clients, be it Mobile: Ipad, Iphone, Android, Windows, Phone, or Desktop: Outlook, Apple Mail, Thunderbird, or Web: Gmail, Hotmail , Yahoo. We remind you that each Email client interprets the code differently, so there may be variations in the way your design is viewed depending on where it is read. All you want is that your subscribers view the information sent with the best  guarantees.

This option is only available to our Premium clients and allows you to contract a monthly plan of 100 tests. To sign up or receive more information please go to: My MDirector Account --> Account Status --> Hire Advanced test.

Step 5. Selecting subscribers for the campaign.

To select the subscribers, click Select subscribers:

1-Choose the list that you want make the campaign with from the drop-down menu:

 In the Subscribers segmentation section, select the segment from the list.

Finally, click on Use segment.  You can repeat these steps as many times as you wish to add more lists and segments. MDirector removes duplicate contacts, if any, before sending.

Step 6. Schedule a campaign

In this section you will have access to a summary of both the creative and the subscribers´ selection. If you wish to change something before sending the campaign, click on modify:

Scheduling a campaign.

If you prefer to schedule a campaign rather than send it immediately, click on the button Schedule Campaign

 

You have the ability to choose the time and date when you want the campaign to be launched. This time is customizable minute by minute, but it should be noted that there is a latency until it lands in the recipients' inboxes.

Click on Porgram and leave to complete the programming and set up the time and date, otherwise click Cancel.

You can also schedule your campaing in different blocks, choosing the date, time, and the number of emails you would like to send:
